What Triggers a Variation
A product registration describes a specific product as it was approved. Change the product and the registration no longer describes it — which is a compliance problem, not a paperwork one.
Changes that require a variation
Formulation or ingredient changes, however minor. A new or additional manufacturing site. Packaging or pack-size changes. Label artwork changes, including redesigns that keep the same text. New or altered claims. A change of importer, distributor or authorised representative. And a change to the manufacturer's own corporate details.
Why the artwork one catches people
Marketing refreshes a label without telling regulatory. The product on the shelf no longer matches the registered artwork, and it is found during routine market surveillance rather than reported. A variation filed in advance is routine; the same change discovered at inspection is not.
Upstream changes you did not make
A supplier reformulating, or moving production to a second site, changes your registered product even though the decision was theirs. Whoever holds the registration carries the obligation. This is the single most common way a compliant importer becomes non-compliant without doing anything.
Renewal, and What Lapsing Costs
Registrations carry a validity period and are renewed. Renewal is not a formality — it usually requires current supporting documents, which means the free sale certificate and manufacturer documentation have to be in date at the point of renewal, not at the point of first registration.
What a lapse blocks
A consignment arriving against an expired registration is held at the port while storage and demurrage accrue. Reinstating a lapsed registration is slower than renewing an active one, and in some categories it means resubmitting rather than renewing.
Aligning renewals with shipping
The practical fix is to map registration expiry dates against your shipping calendar rather than treating them as an annual admin task. A renewal due three weeks before a scheduled consignment is a different priority from one due in a quiet month.
